Recruitment Agency Fees in Kenya: What You Pay, and the Alternative

How recruitment agency pricing works in Kenya - placement fees, retainers and salary percentages - and when software that screens, tests and verifies candidates is the cheaper path.

What agencies charge in Kenya

Recruitment pricing in Kenya follows three models:

  1. Contingency (placement fee). You pay only when you hire the agency's candidate. Published rate guides from Kenyan agencies put the typical one-off fee at roughly 70% to 100% of the hire's monthly gross salary for mid-level roles, while international firms and executive search commonly quote 15% to 30% of first-year annual salary. Either way the shilling cost scales with seniority: the same percentage costs far more for a manager than for a clerk, even though the agency's work is similar.
  2. Retained search. For executive roles, a fee paid in instalments: on engagement, on shortlist and on placement. You pay even if the search is slow.
  3. Flat fee or outsourced staffing. Some firms charge a fixed amount per junior role, or employ the workers themselves and bill you a monthly margin on top of wages.

Whichever model you are quoted, get four things in writing: the fee basis, when it becomes payable, the guarantee period, and whether the guarantee refunds money or only replaces the candidate.

The hidden costs

The fee is not the whole price. The agency's shortlist is built outside your view, so you cannot audit who was rejected or why. The candidate pool the search produced belongs to the agency, not to you: your next vacancy starts the meter again. And because the fee is tied to a successful placement, the incentive is to close the hire, not to warn you off a marginal candidate.

The software alternative

The work an agency sells - advertising the role, reading applications, testing candidates and checking backgrounds - is work software now does:

  • Reach: post the job free and share one link; candidates apply on the web or inside WhatsApp.
  • Screening: AI reads and scores every CV against the role and ranks the applicants.
  • Testing: assessments are generated from the job description and graded automatically, including video answers.
  • Verification: identity, KRA PIN, education, employment and reference checks run with the candidate's consent.

The cost is a flat monthly subscription that does not change with the hire's salary or how many people you hire, and every applicant, score and check stays in your own account. See hiring as a service for how that compares to an agency engagement, or try the pipeline by posting a job free.

A fair rule of thumb

Use an agency when the candidate must be found and persuaded: executive search, rare specialists, new markets. Use software when candidates will apply and your problem is volume, speed and verification. Many Kenyan employers run both, and reserve the placement fees for the handful of roles that genuinely need a headhunter.

Frequently asked questions

How do recruitment agencies in Kenya charge?+

Most charge a placement fee when a candidate they introduced is hired. Kenyan agencies' published rate guides typically quote around 70% to 100% of one month's gross salary, while international and executive search firms quote 15% to 30% of first-year annual salary, often on a staged retainer. Always confirm the fee basis, the guarantee period and the replacement terms in writing before sharing a vacancy.

What is a guarantee or replacement period?+

A window after the hire starts, commonly around three months, during which the agency replaces the candidate or refunds part of the fee if the hire leaves. Check whether the guarantee pays money back or only offers a replacement candidate.

Is it cheaper to hire without an agency?+

Often, if you can generate applicants and screen them well. Posting on free job boards costs nothing, and software can screen CVs, run skills assessments and verify backgrounds for a flat monthly cost that does not depend on how many people you hire. The trade-off is that your team writes the job ad and makes the decisions.

When is an agency still worth it?+

Executive and hard-to-fill specialist roles, where the best candidates are not applying anywhere and must be approached directly, and markets where you have no presence. For high-volume and mid-level hiring, the fee per hire is difficult to justify against software.
