About the Job
The Communications, Sales & Executive Support Officer will serve as a central pillar of the organisation's commercial, communications, and administrative operations. This is a multifaceted role that bridges front-facing client and sales engagement with internal executive support and administrative efficiency.
The successful candidate will be responsible for driving sales and marketing activity, managing the company's digital and social media presence, maintaining operational records, nurturing client relationships, and providing structured support to senior leadership — all while representing Gates Resources' brand and values with professionalism and consistency.
Responsibilities
- A. Sales & Communications
- Handle multi-channel client inquiries promptly and professionally across phone, email, and digital platforms.
- Generate and follow up on leads, converting enquiries into business opportunities through structured pipeline management.
- Prepare and send quotes, proposals, and presentations tailored to prospective and existing clients.
- Support the development and execution of sales and marketing strategies aligned with company growth objectives.
- Monitor market trends, competitor activity, and client feedback to inform sales positioning and messaging.
- B. Social Media & Digital Communications
- Plan, create, and schedule engaging content across the company's social media platforms in line with brand guidelines.
- Manage community engagement — responding to comments, messages, and mentions in a timely and brand-consistent manner.
- Coordinate and execute digital marketing campaigns, tracking performance metrics and providing regular reports.
- Maintain brand consistency across all digital touchpoints, ensuring visual and messaging alignment at all times.
- Utilise graphic design tools (e.g. Canva, Photoshop) to produce professional digital assets where required.
- C. Administration & Records Management
- Maintain accurate and up-to-date digital and physical records, databases, and client files.
- Prepare and distribute operational reports, correspondence, and documentation as required.
- Manage CRM systems to ensure client data is current, complete, and properly utilised for follow-up and reporting.
- Uphold strict confidentiality and data integrity standards across all administrative functions.
- D. Customer Relations
- Serve as the primary point of contact for client queries, ensuring a high standard of customer service at all interactions.
- Manage and resolve client issues and complaints promptly, escalating where necessary with documented outcomes.
- Gather and relay client feedback to inform service improvements and retention strategies.
- Proactively drive client satisfaction and loyalty through consistent and personalised engagement.
- E. Executive Support
- Manage the Managing Director's calendar, scheduling meetings, appointments, and travel logistics efficiently.
- Prepare meeting agendas, take accurate minutes, and follow up on action items with relevant stakeholders.
- Coordinate logistics for internal and external meetings, events, and engagements.
- Assist senior leadership with strategic priorities, research, and ad hoc administrative tasks as required.
Qualifications
- Diploma or Bachelor's Degree in Business, Marketing, Communications, Public Relations, or a related field.
- Minimum 2 years' relevant experience in a communications, sales, marketing, or administrative support role.
- Strong written and verbal communication skills with the ability to represent the company professionally across all channels.
- Demonstrated experience managing social media platforms for a business or organisation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organisational skills with the ability to manage multiple priorities and deadlines concurrently.
- Customer service orientation with proven ability to build and maintain client relationships.

- Experience in digital marketing, including SEO, paid social, or email marketing campaigns.
- Proficiency in graphic design tools such as Canva or Adobe Photoshop.
- Experience using CRM platforms for sales pipeline and client relationship management.
- Strong content creation skills — ability to write, edit, and produce compelling copy for various audiences.
